ColdTrack / Rent calculation guide

Storage rent.
Made clear.

ColdTrack uses calendar-month cycles from the inward date. These worked examples explain exactly when the next cycle starts and how a partial release affects the charge.

The calculation

Released quantity × rate per bag per cycle × number of chargeable cycles.

The inward date begins cycle one, so the minimum is one cycle. Every calendar-month anniversary begins another cycle. The examples below use an illustrative rate of ₹10 per bag per cycle; this is a storage-rent example, not the price of the ColdTrack software.

Illustrative rent at ₹10 per bag per cycle
ExampleInward → releaseBags releasedCyclesRent
Before the anniversary → 1001₹1,000
On the anniversary → 1002₹2,000
Partial release → 402₹800
Short-month anniversary → 1002₹2,000

Why does one day change the cycle count?

For an inward entry on 20 August, cycle one runs through 19 September. Cycle two begins on 20 September. A release on the anniversary therefore includes the new cycle. The rule follows calendar dates, not completed blocks of 30 days.

What happens in a shorter month?

If the original day does not exist in the target month, ColdTrack uses that month’s last day. For 31 January 2026, the next anniversary is 28 February. The following anniversary is 31 March, calculated from the original inward date.

How does a partial release work?

If 100 bags were received and 40 leave during cycle two at ₹10 per bag per cycle, that release has rent of 40 × ₹10 × 2 = ₹800. The remaining 60 bags stay in stock and are assessed when they are released. Recorded payments and advances are separate from this basic rent calculation.

Confirm the agreement before billing

These examples describe ColdTrack’s current calculation. Your commercial rate, adjustments and applicable taxes must match your customer agreement. During setup, check a few real cases with the team before using the system for live bills.
